What we collect when you RSVP or ask to join a future roundtable, why, and what we never do with it.
Who we are
The Executive AI Roundtable is convened by Dr. Erica Castilho and Dr. Ben D. Sawyer and hosted by the Sawyer Laboratory in the Department of Industrial Engineering and Management Systems at the University of Central Florida. "We" on this page means the organizers and the lab staff who run the event.
What we collect
- When you RSVP: your name, email, title and organization; who invited you and any dietary or access needs, if you tell us; and whether you want the directions again by email or text on the morning of the event.
- If you RSVP as someone's guest: who invited you.
- If you choose texts: your mobile number and the date you agreed to receive them.
- When you ask to be considered for a future roundtable: your name, email, title, organization and any dietary or access needs.
We use no analytics, advertising trackers or cookies. To let you return to your RSVP, the page keeps a copy of it in your own browser; "Start over" removes it. The company that hosts this site, Cloudflare, handles the technical details of each visit, such as your IP address, to deliver and protect the page. The page's typefaces come from Google Fonts, which receives your browser's request for them.
Why we use it
To hold your seat, send your confirmation, directions and calendar invitation, send the morning-of reminder you chose, plan seating, food and access, and, if you asked, consider you for future roundtables. Nothing else.
Who sees it
- The organizers and the lab staff who run the event.
- The venue or caterer, only the dietary or access needs they must know to meet them.
- The companies that host this site and deliver our email and text messages, only to do that work for us.
- If you share your guest invitation, whoever opens its link sees your name as the person inviting them.
We do not sell, rent or trade your information, and we do not add you to any mailing list.
Your mobile number
No mobile information is shared with third parties or affiliates for marketing or promotional purposes. Your text-message opt-in and consent are never shared with any third party. The text-message provider carries the messages for us and nothing more.
How long we keep it
We delete mobile numbers within 30 days after the event. We keep your other RSVP or request details for the roundtable series' guest list until you ask us to remove them.
Your choices
To see, correct or delete what we hold about you, email sawyer@ucf.edu. To stop texts, reply STOP to any of them. The details are in our text message terms.
Changes
If this page changes, the date at the top changes with it. We will not use what you have already given us in a new way without asking you.
